Updates from the Board, February 13, 2023  

BOARD BUSINESS, February 8, 2023 Board Meeting

General Members’ Meeting: The GMM scheduled for February 22 will be postponed until Wednesday April 12, The main purpose of this GMM would be to present motions to the membership for a vote. These motions are in the process of being prepared. The deadline for any material to be included in the meeting package is February 28 in order to be reviewed in the March 8 Board meeting.

            The next regularly scheduled GMM is on May 25, when we will be voting for new candidates to fill Board positions becoming vacant.

Outer Office hours: Starting on February 1st, a team of volunteers has been taking shifts in the outer office on several half-days per week. They can take care of things like photocopying and selling garbage bags. See the schedule on the office door.

            More volunteers would be welcome. This is an opportunity to get to know other members and see how things work in the co-op. If interested, contact Mary Anne Kuntz.

Our new office assistant, Jenny Ramkissoon, has been hired. During her training period, February 27 to March 10, the outer office will be closed, with no volunteers. Please continue to make appointments to see Carroll.

Nominations Committee: With Board elections coming up in May, we are seeking volunteers for the Nominations Committee. Policy P7.9 in your Handbook lists the responsibilities. The first is to seek nominations for candidates for the Board. For the past few elections, candidates have been found and nominated by other SKHC members, so this is less daunting than it may seem.

            The other responsibilities are administrative in nature, and experienced members from former Nominations Committees are available for guidance.

The Board is working on clarifying the various SKHC processes for the benefit of new members and also as a refresher for all members.

Member in good standing: A reminder that the minimum required to gain this status is to pay your housing charge on time and attend General Members’ Meetings. Only members in good standing are eligible for example, parking spaces, internal moves and positions on the Board of Directors.

Responsibilities of Committee Chairs: If a committee wants to make a proposal regarding a new project or change to existing bylaws/practices, the Committee Chair is responsible for getting a complete package of relevant documentation regarding the matter to Carroll for inclusion in the package for the next Board meeting. Deadlines are listed on the Board of Directors Information Sheet, posted on various bulletin boards and in the laundry room. Committee Chairs are reminded to put all communications requiring the Board’s attention in writing, and date them, in the interests of clarity and accuracy and to keep on file.

Role of the Board Liaisons: All permanent committees will have a non-voting board member as their Board Liaison. The Liaison will be responsible for reporting to the Board on the committee’s decisions and actions, and for informing the committee of any relevant Board decisions. (from By-Law 1.8.02).

Visitor parking:  At present, the TPL does not have public parking spots for visitors in the underground. SKHC has two staff spaces which are currently used for contractors. However, members may be able to use staff spaces after hours and on weekends.

Please put in a request to the office as soon as possible but no later than Thursday morning for weekend use. To ensure that everyone can use the spaces, a member may only be accommodated to use the spot up to twice per month, and only if possible. A temporary parking pass will be issued, which must be displayed or risk being tagged and towed.

Disposal: Please do not use the garbage chute after 11:00 PM. That is when the tri-sorter in the garbage rooms shuts off to ensure that members living nearby will not be disturbed by the rattling of the mechanism. Anything put down the chute after 11:00 PM will go directly to garbage, and unfortunately, bypass our recycling and composting capabilities.

Garbage Bags: To clarify the item about bags in last month’s bulletin, any clear plastic bags can be used for recyclables, as long as the contents can be identified as recyclable. Organics and garbage do not need clear bags. (thanks to Anna Larsen and Grace MacDonald). Please use black plastic bags only for garbage.

Laundry Room reminders: Please remember to remove your laundry promptly from the machines. Recently someone left their laundry in the machines for over an hour, while three people were waiting for the machine.

When you have called Coinamatic to report a machine not working, please indicate it on one of the slips provided and include the date and time you called. This will cut down on duplicate calls and save time for everyone. (from Delsia Brideau)

SKHC’s three new plaques have been put up in the Meeting Room: 100 Years of Co-operation for Patricia Johnston and Mary Vigrow, and a Garden of Distinction Award. Since we were running out of space, a new wall has been started. Thanks to Chris Dent for the installation.
